1. Our Role
1.1 We are Roaming Vines Limited, a company registered in England and Wales under company registration number 17498817. Our registered office is at 82A James Carter Road Mildenhall IP28 7DE. If you have any questions about these terms, please contact us by emailing jo@jofitzsimons
1.2 These Terms apply between Roaming Vines (we, us or our) and you, the person using this website (you or your). You should read these Booking Terms (Terms) carefully before booking services. By booking or otherwise indicating your consent to these Terms, you agree to be bound by them. If you do not agree to any of these Terms, please do not proceed with a booking.
1.3 Roaming Vines acts as an intermediary, connecting customer with independent local drivers providing transport in Italy for tours, vineyard visits and related experiences. Unless expressly stated otherwise, the transport service is provided by the local driver, and related experiences are provided by local service providers, not by Roaming Vines. Roaming Vines does not intend to act as a package travel organiser.
1.4 The transport agreement is between you and the driver. Roaming Vines does not own or supply the vehicle and does not employ the driver.
1.5 Roaming Vines may receive commission from the driver for introducing customers. This does not constitute an additional charge to you unless clearly disclosed and agreed in advance.
1.6 Roaming Vines is responsible for the accuracy of its own booking communications and for exercising reasonable care in its introduction and booking services. Each service provider is responsible for delivering the services they agree to provide, subject to applicable law.
2. Bookings and Payment
2.1 A booking request (enquiry) is not confirmation that a tour is available. Your booking will be confirmed by email by Roaming Vines. Your confirmation will identify the agreed services, price and payment arrangements.
2.2 You will pay a deposit to Roaming Vines to secure your booking. Payment of the remaining transport balance is made directly to the driver. Roaming Vines is responsible for handling deposits paid to it, and the driver is responsible for payments made directly to them, subject to applicable law and the cancellation and refund terms of your booking. On occasion, we may take payment for the full price of the tour (deposit and transport balance) and pass on the transport balance directly to the driver. This is usually at your request or for your group’s convenience and will be agreed with you in advance before booking.
2.3 You are responsible for providing accurate booking information, including passenger numbers, pick-up details and any accessibility or special requirements.
3. Driver Responsibilities
3.1 The driver is responsible for providing the agreed transport service safely, professionally and in accordance with applicable licensing, insurance and legal requirements.
3.2 The driver is responsible for the vehicle, driving, route and safe transportation of passengers.
3.3 Any changes to the journey should be agreed with the driver in advance. The driver may refuse to continue a journey where reasonably necessary for safety or because of unlawful or abusive behaviour.
4. Changes, Delays and Cancellations
4.1 Please notify both the driver and Roaming Vines as soon as possible if you need to cancel or change your booking.
4.2 You can change your tour date free of charge up to 72 hours before your tour. Rescheduling is subject to availability, and you may be allocated a different driver.
4.3 Cancellations made less than 72 hours before your tour will be treated as cancellations rather than date changes. This is because we cannot usually re-book your driver with a new customer at such short notice. We understand that travel plans can change, so please contact us and we may be able to arrange a new date.
4.4 If you cancel your tour, the following cancellation charges apply:
4.4.1 Your deposit paid to Roaming Vines is non-refundable, subject to your statutory rights.
4.4.2 Cancellation 72 to 48 hours before your tour: 50% of the outstanding balance is payable to the driver.
4.4.3 Cancellation 48 hours or less before your tour: 100% of the outstanding balance is payable to the driver.
4.5 We take reasonable steps to avoid cancelling bookings. If Roaming Vines or your driver cancels your booking and a suitable alternative date cannot be agreed, all amounts paid for the cancelled services will be refunded. We aim to process refunds within 24 hours, although the time taken for funds to reach your account may depend on your payment provider or bank.
4.6 The driver will notify you as soon as reasonably practicable of any significant delay, vehicle issue or inability to provide the agreed transport. If the driver cancels or fails to provide the agreed service, please contact the driver regarding a refund or alternative arrangements. You may also contact Roaming Vines for assistance.
5. Customer Responsibilities
5.1 You must follow reasonable safety instructions, wear seatbelts where provided and treat the driver and vehicle respectfully.
5.2 You are responsible for your personal belongings.
5.3 You may be responsible for the reasonable cost of repairing damage to the vehicle caused by your deliberate or negligent actions, subject to applicable law.
6. Roaming Vines’ Responsibilities
6.1 The driver is responsible for providing the agreed transport service, including the vehicle, driver licensing, insurance and safe operation of the vehicle. Roaming Vines is responsible for exercising reasonable care in its own introduction and booking services and will make reasonable efforts to assist with queries or complaints.
6.2 Nothing in these terms excludes or limits any responsibility or liability Roaming Vines has under applicable law, including liability for its own negligence, misleading statements or breach of contract.
6.3 Nothing in these terms affects your statutory consumer rights.
7. Complaints
7.1 If you have a concern about the transport, please contact the driver directly and notify Roaming Vines if you need assistance. We will make reasonable efforts to help resolve the issue.
8. General
8.1 These terms are governed by the law of England and Wales, except where mandatory applicable law provides otherwise.
8.2 These terms should be read alongside any booking-specific information provided to you before and after your booking is confirmed.
